Job Summary:
The Inventory Control & Sales Support Specialist manages the end-to-end life cycle of purchased parts, custom kitting, shipping, and receiving, while acting as a critical technical administrative bridge for the Sales Department. This role ensures high-tech inventory accuracy for production schedules while maintaining ISO-compliant documentation and providing responsive client support for spare parts and system orders.
Duties and Responsibilities:
• Daily Inventory Analysis: Conduct routine audits, execute cycle counts, and resolve physical-to-digital inventory discrepancies.
• Item Master Management: Oversee stock bins, correct part descriptions, and update item master numbers within the Made2Manage ERP system.
• Purchasing Alignment: Coordinate with Purchasing regarding new parts, location changes, lead times, and stock level adjustments based on production schedules.
• Production Kitting: Issue highly specific purchased parts (electronics, sensors, pneumatics) to assembly kits using Made2Manage.
• Receiving & Inspection: Post daily receipts, complete documentation, and immediately report shortages or damages to the appropriate department.
• Outbound Shipping: Prepare all logistics documentation, verify export/freight details, and communicate tracking specifics directly to customers.
Sales Operations & Client Support (40% of Role)
• Spare Parts Quoting: Generate technical quotes for spare parts, distribute them to clients, and perform proactive telephone follow-ups on quote status.
• Document Distribution: Route active sales orders, engineering layouts, and initial concept drawings to customers and internal teams.
• Data Entry: Input warranties, production shortages, and manual custom orders into Made2Manage with high accuracy.
• Client Back-up Support: Answer incoming client calls, solve basic inquiries, and route technical requests to the appropriate Sales Associate.
• Compliance & Filing: Maintain immaculate files by matching shipping packing lists to original sales orders to satisfy ISO certification audits.
Requirements and Qualifications:
• Experience: 3+ years in inventory control, kitting, or material handling within a manufacturing environment (Automated equipment, robotics, or industrial machinery preferred).
• Technical Systems: Direct experience or strong proficiency with the Made2Manage ERP system and standard Order Entry platforms.
• Blueprint Literacy: Ability to comfortably reference or distribute technical layouts, schematics, and concept drawings.
• Quality Standards: Prior experience working within an ISO 9001 (or similar) certified quality management framework.
• Communication: Strong phone presence for following up on sales quotes and collaborating with engineering, purchasing, and production teams.
