Mega Force Staffing is recruiting for a Receptionist/Office Coordinator for a large client in Martin County, NC. Associate will be responsible for supporting all office administrative functions including providing quality customer service over the phone and in-person,  administering compliance procedures and management of office equipment and supply inventories, and special projects as needed. 

Key Accountabilities:

  • Consistently meets the expectations of the front desk and switch board operations while delivering quality service to clients, vendors, candidates, and peers.
  • Greets and directs visitors, answering incoming calls, distributing mail, and scheduling meetings and interviews
  • Produces and maintains safety KPI reporting metrics, incident reporting statistics, and partners with in-house safety specialist on LTIR standards
  • Reviews incident reports for completion and accuracy; partners with safety specialist and leadership to fill in gaps
  • Create and maintain employee safety training completion spreadsheet
  • Review and follow-up on GMP and safety related progressive discipline forms
  • Analyze incident data to identify trends and incident types that can be prevented – report findings to safety specialist
  • Helps to maintain regulatory environmental compliance by assisting with applicable inspections, recordkeeping, and reporting
  • Assisting to ensure all quality and regulatory standards, specifications and policies, including GMPS, are met or exceeded by reviewing written SOPs and protocols
  • Issue locker combinations, terminations of lockers, and maintenance of locker list for safety/BRC (both W2 and W4)
  • Inputs data into Workday as directed by Senior HR Generalist
  • Maintains employee call-in line spreadsheet, attendance notifications spreadsheet, progressive discipline archive, and termination archive
  • Maintains employee (temporary and permanent) headcount standards spreadsheet Input and maintenance of production MAV (maximum allowable variance) tickets
  • Create and process post/hire forms, both permanent and temporary positions, maintains post/hire log
  • New employee orientation and application packet processing, scheduling, and calendar administration
  • Conducts MAXIMUS new employee screens for WOTC credit
  • Coordinates and inputs all supply line SAP requisitions
  • Other duties and project work as assigned

Requirements:

  • High School Diploma/GED required
  • Associates degree preferred
  • Intermediate Excel knowledge, including formulas and data development required (more than basic data entry)
  • Working knowledge of office machines and various computer systems (ex. MS Office)
  • Advance administrative functionality including multiple layer filing systems
  • Requires positive, warm, and welcoming attitude, work independence, and ability to quickly prioritize tasks without prompting
